There’s a common misconception that Microsoft backup all user data when using SaaS applications such as Office 365 and SharePoint. This is far from the truth and in fact Microsoft state that it is the end user’s responsibility to ensure their data is backed up. Microsoft will recover data from hardware or software failures or natural disasters but not from human error like deleted emails or a ransomware attack.
There’s also a misunderstanding among SaaS users that backup isn’t necessary for their data because it exists in the cloud. 1 in 3 users experience data loss in the cloud and although cloud-based applications are safe when left alone, they can’t protect users from themselves. Every day, users trigger data loss/corruption in cloud applications due to accidental (and intentional) deletion, overwriting important data or downloading malware/ransomware viruses to name a few.
Microsoft move deleted emails in Outlook to the recoverable items folder after 30 days and then permanently delete them after another 30 days, therefore users won’t be able to access these emails after 60 days. Similarly, there is no second copy of data stored in Office 365 as it’s 100% in the cloud and under Microsoft’s control. This is insufficient for many companies, especially those who need to remain 3-2-1 compliant.
Unfortunately, malicious attacks such as ransomware have become one of the biggest threats to businesses and unless they are willing to pay the ransom, the only way to avoid permanent data loss is by having a full backup. Again, Microsoft fall short on their restoration features meaning users can’t go back to a point in time to restore from the most recent clean backup.
